What is the difference between managed and unmanaged?

Managed plans include expert onboarding, ongoing maintenance, and hands-off support—Reply Botz sets up, trains, and regularly optimizes your helpdesk system for you. Managed plans also feature our Guaranteed Gains program, providing quarterly performance reviews and measurable result guarantees. Unmanaged (self-managed) plans give you direct control: you handle setup, updates, and management yourself, with access to our platform’s features but without the Guaranteed Gains benefit.

What is the Guaranteed Gains Program?

The Guaranteed Gains Program is our quarterly performance guarantee for managed clients. If we don’t meet or exceed the measurable support improvements we set together, you receive a service credit or refund for that quarter—no risk, guaranteed results.

What is included in the setup fee for managed plans?

The setup fee covers onboarding, platform configuration, agent and voice training, knowledge base import, integrations (like Twilio), and your initial Guaranteed Gains baseline review.

Can I switch from a self-managed to a managed plan?

Yes! You can upgrade to a managed plan at any time. Our team will handle the transition, including onboarding and any needed data migration.

Are voice agent minutes included?

Yes, every managed plan comes with bundled voice agent minutes each month. Additional usage is billed at a simple per-minute rate.

Can I use my own support agents and branding?

All managed plans include full white-label. For unmanaged plans, we offer a white label addon. 
White-label allows you to brand your AI tools to match your brand. 

How does billing work for overages or extra usage?

If your usage exceeds the monthly plan limits (messages or voice minutes), overages are calculated and billed monthly at published rates. You’ll always receive clear usage reports.

Is there a minimum contract for managed plans?

Managed plans require a minimum three-month commitment and setup fee. Annual plans offer discounted rates and priority onboarding.
